Privacy Policy

Last Updated: September 15, 2026

Welcome to the privacy policy for JJJ Wilderness Ranch (“we,” “us,” or “our”). We operate a guest and dude ranch based in Montana, USA, and accept reservations from guests across the United States and around the world.

Your privacy is deeply important to us. Because we collect specific information to ensure your safety and comfort during your stay, this Privacy Policy explains exactly what data we collect, how it is stored, and your rights regarding your personal information.

1. INFORMATION WE COLLECT

When you fill out our reservation, booking, or registration forms, we collect information that you voluntarily provide to us. This includes but is not limited to:

  • Contact Information: Full name, email address, physical address, and phone number.
  • Demographic Details: Age.
  • Physical Attributes: Height and weight. (We collect this strictly for safety and operational reasons, such as matching you with the appropriate horse for riding activities).
  • Health & Dietary Accommodations: Voluntary disclosures regarding medical conditions, physical limitations, or severe food allergies. (We collect this to safely prepare meals and manage trail riding or ranch activities).

2. HOW WE USE YOUR INFORMATION

We use the information collected from our reservation forms solely to:

  • Process and manage your guest booking and stay.
  • Ensure guest and animal safety (specifically using age, height, and weight metrics for trail riding safety).
  • Accommodate medical needs, dietary restrictions, and emergency safety protocols.
  • Communicate with you regarding your upcoming reservation.

We never sell, rent, lease, or trade guest information to any third party for marketing or advertising purposes.

3. DATA STORAGE & WEBSITE ARCHITECTURE

Our website is built on the WordPress platform and utilizes the Formidable Forms software plugin to process online entries.

  • Secure Server Storage: When you submit a form, your data is securely stored directly within our password-protected website database located on a secure server environment.
  • Regulatory Clarification (HIPAA): While our servers feature standard security and encryption protocols, they are not specifically configured as “HIPAA compliant.” Because our business is a recreational hospitality ranch and not a healthcare provider or covered medical entity under U.S. federal law, our data processing does not fall under HIPAA jurisdiction.

4. COOKIES, LOCAL BROWSER STORAGE, AND “SAVE DRAFTS”

Our website utilizes standard marketing tracking cookies from Google for anonymous analytics and ad performance. That information is subject to Google’s terms of service. We also utilize specific local data storage functionalities to improve form usability:

  • The “Save Draft” Feature: For your convenience, certain reservation forms include a “Save Draft” or “Save Progress” option. If you click this option to complete the form at a later time, your unsubmitted entries are temporarily stored locally inside your web browser’s local storage or via a temporary technical cookie. This allows your browser to remember your text inputs when you reload the page.
  • Clearing Drafts: This partial information remains local to your device until you officially submit the form, at which point the browser’s temporary storage is automatically cleared. You can manually delete this draft data at any time by clearing your browser’s cache and cookies.

5. DATA ACCESS AND SECURITY

We implement administrative and technical security measures to protect your sensitive data from unauthorized access. Within our ranch operation, access to your data is strictly limited:

  • The Kitchen and Cook Staff will only be given access to relevant food allergies.
  • The Wranglers / Barn Staff will only be given access to relevant height, weight, and physical condition details necessary for riding safety.
  • Full profile data is restricted to reservation managers.

6. YOUR RIGHTS AND DATA DELETION

Regardless of where you reside in the world, we believe you should have control over your personal data.

  • Right to Deletion: At any point after your reservation is processed or your stay at the ranch concludes, you have the right to request that your personal information be permanently purged from our website’s database.
  • How to Request Deletion: To request that your data or form submissions be deleted, please contact us directly using the contact information below. We will fulfill legitimate deletion requests promptly, subject to any legally mandated financial record-keeping or tax requirements under Montana and U.S. federal law.

7. INTERNATIONAL GUESTS

If you are visiting us from Canada, the United Kingdom, the European Union (subject to GDPR), or other global regions, please note that by completing our forms, your data will be transferred to and processed on secure servers located within the United States. We collect special category data (such as health conditions or allergies) solely on an explicit, opt-in basis to fulfill your hospitality contract and protect your vital safety interests while on our property.
